Terms & Conditions

The words "we," "our" and "us" refer to MadeToPromo; the words "you" and "your" mean the prospective purchaser who submits an order (as defined below); and the word "goods" means the particular products we offer for sale.

MadeToPromo only sells to authorized promotional products distributors.

It is understood that by submitting an order to the factory, the distributor agrees to all of the factory’s terms and conditions, regardless of what is on the distributor’s purchase order.

  • 01 )    Ordering

    • Placing Orders:

      • Visit us online at www.MadeToPromo.com for quick and convenient ordering 24 hours a day, 7 days a week.
      • If you prefer not to place your order online, call us at 800-676-5955 or email a purchase order (PO) to [email protected]. All PO’s should include your Customer Number (your phone number), company name, shipping address, PO number and method of payment.
    • Pricing:

      • All prices in our catalog are (R) coded prices.
      • MadeToPromo reserves the right to change prices without notice.
    • Turnaround Time:

      • All in-stock orders will be shipped out within 7 business days. Products with “EZ” as an item number will be shipped out within 12 business days.
    • Shipping:

      • All orders received by MadeToPromo will ship FOB Atlanta, Ga. MadeToPromo will not be held responsible for lost, damaged, or delayed products caused by shipping carriers. Please allow an extra day for truck shipments. MadeToPromo is not responsible for lost or delayed orders. Freight charges include handling charges.
      • All orders received for products with “EZ” as an item number will ship directly from the factory.
      • Please see the shipping section below for additional information.
    • Additions to Orders:

      • All orders are considered firm orders at the time of placement. Any additions to orders already placed will be treated as a new order and will be billed and shipped separately.
    • Order Cancellation:

      • Any cancellation to a processed order (pulled or packed, whether shipped or not) must be in writing and is subject to a $35.00 (R) or 15% restocking fee charge, whichever is greater, in addition to any labor and material costs that have accrued.
    • Returns:

      • MadeToPromo products (excluding monogrammed / personalized, screen printed, custom products, retired and /or sale merchandise) can be returned or exchanged within 14 days of the purchase date for a full refund in the amount of the purchase excluding shipping costs.
      • Returns must receive prior approval and the merchandise must be returned unused, unwashed and in the original packaging. The condition of the product is left at the discretion of MadeToPromo.
      • Customers are responsible for all shipping expenses on the returns of MadeToPromo products.
    • Samples:

      • If placed before 2pm EST, pre-production embroidery samples turnaround time is 1 business day + transit time to the customer.
      • For screenprint pre-production samples, the turnaround is 5-10 business days + transit time to the customer.
      • We do not send random imprint samples
  • 02 )    Artwork

    • Artwork Submission:

    • Digital Art Requirements:

      • Adobe Illustrator (.ai or .eps) files
        • .eps files need to be saved as “vector” or “editable”.
        • Vector art containing fonts must be converted to curves or outlines.
        • Objects on the same color must be grouped and placed on the same layer.
        • Single color imprint in black or white .jpeg is accepted with more than 600 dpi resolution.
        • 4-color process art should be converted to CMYK; resolution should be a minimum of 300 dpi at the finished print size, saved as .tiff or .jpeg files.
    • Art Charges:

      • In the event that acceptable camera-ready art is not available, we will make our art department available to assist with recreation of art. The fee for this service is $40.00 per hour, minimum charge of ½ hour.
    • Artwork Retrieval:

      • To retrieve and forward a digital copy of artwork from current or past orders within 12 months, there will be an artwork retrieval fee of $25.00. A purchase order is required. Include the previous order number and the email address to which to forward the file.
    • Smaller Text:

      • We recommend using 10pt fonts or larger for basic text (see example below).
    • Trademarks:

      • All copy and art submitted by the distributor will be accepted by the factory as being submitted in full compliance with all applicable laws regarding trademark, licensing, copyright, right of privacy, patent, or similar protection.
      • The factory and MadeToPromo will be held harmless from all claims and costs arising from these issues.
      • Any trademarked, licensed, and copyrighted logos that might be contained in our catalog or online images are not for sale. They are for illustration of printing capabilities only, and do not represent endorsement from their respective owners. By placing an order, distributor understands that overruns may be used for digital or print media illustrating factory’s printing capabilities.
  • 03 )    Printing Characteristics

    • Screen Printing:

      • Screen printing is the process for smaller quantities and the highest quality images. Screened images are very sharp, crisp, and deliver good ink capacity. This process also gives the ability to overprint multiple colors to solve registration issues in some art, multiple color logos are printed and re-registered one color at a time. The registration can vary and multiple color logos are limited to size as per product.
    • Digital Printing:

      • Digital printing is an inkjet process that uses CMYK, otherwise known as 4-color process (4-CP). It is great for smaller quantities.
      • The process can hold great details, however it is not great for Pantone color matching. All PMS/spot color logos are converted to 4-CP. Most Pantone colors will appear different when converted to 4-CP. This is not considered a defect. This conversion can be referenced with a Pantone Color Bridge book.
      • When choosing this print method, if you have other items ordered that will be printed via other printing methods, they will not look similar. This is also not considered a defect.
    • Ink Color Match:

      • MadeToPromo offers free PMS matching. We take great pride in matching PMS colors, however color match is only guaranteed +/- one shade.
      • If a purchase order says to use a PMS# and the color described does not match the number given, we are not responsible. We do not check to see if the PMS# provided is the color stated.
    • Ink Odor:

      • Products are printed with inks. Sometimes vapors may become trapped in the plastic packaging before they have completely dissipated.
      • The inks are dry but there may be a residual odor in the package from the vapors.
      • Some colors of ink have more odor than others and the amount of ink coverage can affect the amount of odor.
      • This odor, should it be present, is not considered a defect. It is similar to painting a room in your home. Should this odor be a concern, remove the paper products from the plastic packaging and let them air to eliminate the odor. Normally, once the products are placed for use, any odor that remains will quickly dissipate.
  • 04 )    Printing Disclaimers

    • Maximum Imprint:

      • Imprint area specifications can be found on our product pages. We recommend staying 20% under this area. Unless specified at the time of order, we will enlarge or reduce your image to fit within these areas. Artwork is enlarged and reduced proportionally by both width and height. Therefore, if you request maximum imprint area, only one of the dimensions may be maximized.
  • 05 )    Proofs

    • Proofs Policy:

      • Proofs are required for all orders, including reorders.
      • One proof will be emailed free of charge within 48 hours of receiving good art and purchase order.
      • Proofs are to show logo placement as well as item color, imprint color.
      • Your order will not be assigned a ship date until the signed proof approval and any instructed pre-payments are received. We will email an order acknowledgement showing the ship date and method.
      • If requesting a proof without the factory’s receipt of purchase order for printed items, there will be a $30 (V) charge per item.
    • Proof Changes:

      • Any changes, including ink color, quantity, packaging, etc will require a new proof. Proof changes are $10 per item.
    • Product Proof:

      • A product proof is an actual printed product. We will email proof prior to printing the product proof.
      • Production time for a product proof is 12 business days after email proof approval.
      • If the product proof is approved as is, without any changes to the logo, there will not be additional setup charges for the full run of the order.
      • If placed before 2pm EST, sample turnaround for embroidery is 1 business day + transit time to the customer. For screenprint it is 5-10 business days + transit time to the customer. We do not send random logos, only customer provided, properly digitized logos.
    • Product Proof Charges:

      • Sample price + screen setup fee + freight.
    • Screen Setup Charges:

      • $50.00 (V) per color and location.
    • Production Time Policy:

      • A ship date is not assigned and production does not begin until all written approvals and any instructed pre-payments are received. Approvals received after 2pm EST will be treated as being received the following business day for production scheduling purposes.
    • Standard Layout:

      • Unless otherwise specified, we will default to our standard placement (marked on product pages).
    • Blank Order:

      • Blank orders will be shipped within 48 hours, subject to availability.
  • 06 )    Setup Charges

    • New Orders:

      • Setups are always charged per item, per color, per panel. Setup charges are listed on each product page and vary by print method.
    • Reorders:

      • On exact reorders, new setups are not required as long as the date of the last purchase order is within one (1) year and is from original distributorship.
      • Reorder setup charges are $25.00 (V).
    • Changes:

      • Changes to logo size or placement will require new setups. On multi-color logos, changing any of the colors in the imprint will require a new setup charge for all of the colors.
    • Additions to Orders:

      • All orders are considered firm orders at the time of placement. Any additions to orders already placed will be treated as a new order and will be billed and shipped separately.
  • 07 )    Shipping:

    • Carriers:

      • UPS, UPS Freight, FedEx, USPS
    • FOB:

      • All products are shipped FOB Atlanta, GA. MadeToPromo will not be held responsible for lost, damaged, or delayed products caused by shipping carriers.
    • Third Party Billing:

      • When shipping on any third party account other than MadeToPromo account, mention all details on POs, might be limited to certain products. All products with “EZ” as an item number cannot be done using third party billing.
    • Freight Quotes:

      • We can provide freight quotes for orders shipping to the US. These are approximate and for estimation purposes only.
    • Carrier Address Corrections & Intercept Fees:

      • Any charges for address corrections or interception fees will be billed at cost and are the responsibility of the distributor.
    • Product Damage Claims:

      • All claims must be made within five (5) days. If, after inspection of your entire shipment, you feel that a claim with the carrier is warranted, we will be happy to help by filing a claim on your behalf.
      • All products are shipped FOB.
      • Customers must retain packaging and contents to make them available for the carriers for inspection.
    • Turnaround Time:

      • All in-stock orders will be shipped out within 7 business days. Products with “EZ” as an item number will be shipped out within 12 business days.
  • 08 )    Packaging

    • Standard Packaging:

      • On our website, standard packaging is listed for each item. This is subject to change based on specific requirements and quantities. Unprinted item packaging may vary from standard packaging.
    • Custom Labeling:

      • $0.25 per label
  • 09 )    Disclaimers

    • Pricing:

      • Every effort is made to verify accuracy of pricing on this website and to maintain pricing. However, MadeToPromo reserves the right to change prices without notice.
    • Product Information:

      • Every effort is made to verify accuracy of the product information on this website. Due to printing and computer monitor limitations, product color can vary. If color is important, please request random samples or order a product proof. MadeToPromo cannot be held liable for erroneous information or variations in color.
    • Product Color Variation:

      • Some of the trim color products may vary from lot to lot. This variation in color is not considered to be a defect.
    • Product Count:

      • Several times throughout the printing and packaging process, the product count is verified. When questions arise, the actual shipping weight receipt, which is automatically generated from the shipping scale, will be used to verify product count.
    • Logo Placement Variation:

      • The logo will be printed based on the placement shown on the proof. Slight variation of this placement can occur when printing. This is not considered a defect.
    • Scuffs and Knots:

      • It is the nature of canvas to have small knots, threads,or spots as it is in its natural form. Natural canvas items show this the most. This is not considered a defect.
    • Towels:

      • Due to the unique characteristics of our luxury towel line, we do not recommend using metallic inks, art with straight lines, or borders that follow the towel’s edges. We also recommend avoiding using thin lines and condensed lettering. Maximum 4-color imprint only.
    • Order Cancellation:

      • Any cancellation to a processed order (pulled or packed, whether shipped or not), must be in writing and is subject to a $35.00 (R) or 15% restocking fee charge, whichever is greater in addition to any labor and material costs that have accrued.
    • Order Change:

      • Any change to a processed order must be in writing and is subject to a $10.00 fee, in addition to any labor and material cost that have accrued.
    • Returns:

      • MadeToPromo products (excluding monogrammed / personalized, screen printed, custom products, retired and /or sale merchandise) can be returned or exchanged within 14 days of the purchase date for a full refund in the amount of the purchase excluding shipping costs.
      • Returns must receive prior approval and the merchandise must be returned unused, unwashed and in the original packaging. The condition of the product is left at the discretion of MadeToPromo.
      • Customers are responsible for all shipping expenses on the returns of MadeToPromo products.
    • Unprinted Items:

      • To order unprinted (or blank) items, the cost is based on MadeToPromo pricing, with a savings of $0.25 on selected items. Returns of unprinted blanks will only be accepted if packages are unopened. All freight is the responsibility of the customer. Packaging for unprinted items may vary from standard packaging.
    • Order Acknowledgement:

      • An order acknowledgement is sent for all orders within 48 hours of the order being entered.
      • It is the distributor’s responsibility to check for discrepancies, as the order will be proofed and produced accordingly.
      • The acknowledgement also has disclaimers for all items being ordered.
      • After proof approval is received, you will receive another acknowledgement showing the ship date. Again, please verify this information along with the ship date to address for accuracy.
    • Compliance Policy:

      • The distributor or end-user must make their own determination that their use of the product(s) is safe, lawful, and technically suitable for the intended applications.
    • Random Samples:

      • We provide random samples for your convenience to show item quality. Sample swatches are free of charge, however shipping is the responsibility of the distributor.
      • Due to samples being random in nature, specific color on specific items is not always possible.
      • If you need to see a specific color on a specific item, please refer to pricing for product proofs.
  • 10 )    Payment Terms

    • Payment Terms:

      • All orders require prepayment. We accept all major credit cards. Net terms are determined based on credit approval for established customers.
    • Custom Orders Payment:

      • Custom and large orders ($5,000 minimum) require 50% advance when acknowledging the product for final approval. Remaining amount will be charged when the order is ready to ship
